The Facilities Services Supervisor will supervise the Facilities Services in the assigned offices to ensure the continuous operation of Chubb’s services within our Properties. They will support office relocations and other major projects, managing all services delivered to employees under the scope of Real estate and Facilities Services, supervised by the Regional Facility Manager and/or the Head of EMEA Facility Management.

Offices within the roles area of responsibility include:

  • Glasgow
  • Leeds
  • Manchester
  • Dublin
  • Newcastle
  • Johannesburg

The Facilities Services Supervisor will also share responsibility for Chubb’s London Post room tasks and other facility services, including office material, Multi-function devices, catering, maintenance, and cleaning services. They will manage mail responsibilities and support all employees to ensure a high standard of employee experience and office efficiency.

Key responsibilities:

  • Manage the performance of Facilities-related service providers, ensuring contracts include SLAs and KPIs, and reviewing contractor performance quarterly with the Regional Facility Manager.
  • Develop and maintain a central repository for all critical FM information, including leases, service contracts, and maintenance schedules.
  • Support relocation projects by working closely with IT and service partners, from lease signing through relocation and potential decommissioning of old premises.
  • Assist with other Facilities Services and office management tasks as needed, supporting the Regional Facility Manager.
  • Supervise (and perform if needed) Post room services in Glasgow, ensuring tasks are completed professionally and efficiently within SLAs, and review performance with the Regional FM.
  • Process invoices related to facility costs and review invoices for PO processing to ensure accurate allocations and timely quarter-end closings.
  • Manage subtenant invoice processing and follow-up quarterly for UK South subtenants.
  • Perform other ad hoc duties as required, especially in support of the Regional FM.

Requirements & Experience:

  • Degree or equivalent qualification in Facilities Management, or relevant apprenticeship and work experience.
  • Strong communication and interpersonal skills, with the ability to build and maintain relationships at all levels.
  • Passion for customer service, high standards, and a keen eye for detail.
  • Experience demonstrating flexibility and self-planning, preferably in Facility Services Coordination in offices with over 300 employees.
  • Experience managing Facility Services through SLAs and performance reviews.
  • Experience working within a corporate office environment as part of a team is required.
  • Excellent digital literacy skills, especially in Excel and PowerPoint.
