Job Description:
Monthly travel to UK-wide sites will be required.
Responsibilities:
- Provide support to the Head of Workspace and Property to ensure smooth coordination of daily project activities.
- Assist with planning and delivering workspace projects.
- Maintain a central repository of documents and project materials within Microsoft Teams for easy access and collaboration.
- Collaborate with the Helpdesk team to develop and implement the Workspace Helpdesk system, working with internal IT.
- Partner with BGIS to maintain an asset register for equipment outside the Project Thursday scope.
- Support the Head of Workspace and Property for large events.
Key Responsibilities:
- Project Administration (25%): Manage day-to-day admin tasks to keep projects on track.
- Information Management (25%): Maintain and organize the central database for workspace documents and updates.
- Helpdesk Development (25%): Support the development of the Workspace Helpdesk system, working with IT and Helpdesk teams.
- Asset Coordination (25%): Collaborate with BGIS to develop an accurate asset list.
Qualifications and Skills:
- Proactive attitude and eagerness to contribute from day one.
- Understanding that Facilities and Workspace roles require flexibility and responsiveness.
- Attention to detail with the ability to deliver clear, concise information quickly.
- Strong communication skills and ability to build relationships across teams.
- Minimum of 3 years’ experience in Facilities Project or similar support roles.
- Proficient in Microsoft Excel, Word, Outlook, and Teams; knowledge of Workday is preferred.
- MS Project experience is advantageous but not essential.
