Facilities Office Manager | Office Based | Up to £32,000 per year | Interviews ASAP

Location: Leicester City
Salary: Up to £32,000 per annum
Working Hours: 9-5, Monday to Friday
Fully Office-Based

Are you an experienced and proactive Office Manager looking for a rewarding opportunity within a leading and award-winning organisation? About Your New Role:

As our Office Manager, you will be pivotal in maintaining the efficient functioning of our office through comprehensive management of health & safety, administrative, financial, and team-related tasks. Your role will be to ensure the seamless day-to-day running of the office, taking ownership of all the above areas of responsibility. This will involve effectively managing and scheduling a team to meet the fluctuating demands throughout the day.

Key Responsibilities:
  1. Health and Safety Oversight:
  • Oversee Health and Safety across the site.
  • Collaborate with the Health & Safety Manager to ensure compliance with relevant regulations.
  • Conduct risk assessments.
  • Attend quarterly Health and Safety meetings (some travel may be required).
  • Budget Management:
    • Create budgets with the Head of Facilities for all responsibilities.
    • Provide first-line approval for expenditures; second-line approval from the Head of Facilities.
  • Statutory Compliance:
    • Ensure adherence to statutory requirements within your scope.
  • Service Levels:
    • Develop and agree on service levels with stakeholders.
  • Processes and Procedures:
    • Develop, implement, and maintain documented processes to deliver service levels.
  • Primary Contact / Help Desk:
    • Serve as the main contact for site concerns, escalating as needed.
  • Reporting:
    • Meet monthly with the Head of Facilities, produce reports for management and board-level review.
  • Procurement:
    • Manage contracts and liaise with the Contracts Manager.
  • Property Management:
    • Handle day-to-day property issues, keeping the Head of Facilities informed.
  • General Office Management:
    • Support site operations, safety, and environment, optimize space, and manage security.
    About You:
    • Experience with administrative systems, ICT, and Microsoft Office.
    • Management or Health & Safety experience.
    • Strong organizational, leadership, and communication skills.
    • Ability to work under pressure and handle conflicting priorities.
    • Positive, flexible attitude and team-oriented approach.
