Job Description:

Purpose of the role:

Supervision of all aspects of the day-to-day running and maintenance of the property, including the supervision of 2 staff members and service partners/contractors. The role involves ensuring standards are maintained, managing facilities, health and safety, maintenance, and ensuring compliance with legislation and safety standards.

Key Responsibilities:

  • Manage the performance of site-based staff and their operations, maintaining relationships with clients and employees.
  • Manage contractor access and permits, ensuring good relationships and contract standards.
  • Ensure third-party suppliers deliver their PPMs.
  • Maintain compliance, including managing fire and safety systems.
  • Manage defect processes, inspections, and resolutions.
  • Support new resident onboarding and related processes.
  • Address reactive issues like leaks, power problems, cleaning, and resident queries.
  • Conduct daily checks of all areas.
  • Ensure timely and accurate completion of paperwork and reports.
  • Report incidents, manage safety documentation, and liaise with emergency services.
  • Manage expenditure within budgets.
  • Support project delivery as needed.

Property Management & Facilities:

  • Manage estate services proactively, exceeding client and occupant expectations.
  • Implement and maintain management systems for buildings and public areas.
  • Ensure compliance with agreements, KPIs, SLAs, and legal obligations.
  • Develop stakeholder relationships and promote communication.
  • Oversee reactive repairs, ensuring safety and proper documentation.
  • Maintain records of reports, logs, and maintenance actions.
  • Manage actions related to the Building Safety Act, including fire door checks.

Health and Safety:

Ensure compliance with all safety policies and procedures, support ESG deliverables, and manage risks by recording, reporting, and mitigating hazards. Establish emergency procedures and promote safe working practices for all residents, visitors, staff, and service providers.
