Job description

Role Overview

We are seeking an experienced, proactive Facilities Manager to oversee the day-to-day operational management of our prime commercial property in the City of London.

In this role, you will hold end-to-end accountability for all hard and soft facilities services, statutory health and safety compliance, service charge budget monitoring, and tenant engagement. The ideal candidate will combine strong technical awareness with exceptional stakeholder management skills to maintain a world-class working environment.

Key Responsibilities
Operations & Service Delivery
  • Manage and deliver all day-to-day hard and soft facilities services, including mechanical and electrical (M&E) systems, HVAC, cleaning, security, waste management, and reception.

  • Act as the primary point of contact for building occupiers, fostering collaborative relationships and resolving issues promptly.

  • Conduct regular building inspections and condition audits to maintain top-tier operational standards and fabric presentation.

  • Coordinate small works, fit-out projects, and office reconfigurations in collaboration with internal teams and external consultants.

Contractor & Supplier Management
  • Supervise, review, and evaluate third-party service providers and specialist maintenance contractors.

  • Monitor service level agreements (SLAs) and key performance indicators (KPIs) to drive consistent, cost-effective service delivery.

  • Issue work permits, review Risk Assessments and Method Statements (RAMS), and ensure safe systems of work across all contractor activities.

Health, Safety & Statutory Compliance
  • Ensure the premises fully comply with current UK statutory health, safety, and environmental legislation.

  • Manage, maintain, and update statutory logbooks, including fire safety systems, water hygiene (Legionella prevention), lift maintenance, and emergency lighting.

  • Act as the designated lead for building evacuations, fire warden procedures, and emergency response planning.

  • Oversee sustainability initiatives, energy efficiency monitoring, and corporate ESG reporting targets.

Financial Administration
  • Assist in preparing, reviewing, and reconciling operational and service charge budgets.

  • Raise purchase orders, code contractor invoices, and track operational expenditure to prevent budget overruns.

  • Identify value-engineering opportunities across service contracts without compromising quality.
