Job description

Job Description: Facilities and Events Team Member

This highly regarded ADR facility is seeking to appoint a Facilities and Events team member to provide exceptional service to clients and users of the center. The successful candidate will report to the Operations Manager.

Experience

The ideal candidate will have a strong Front of House/hospitality background, proficiency in Microsoft Word and Excel, and the ability to use initiative to ensure all users of the IAC are well looked after, encouraging repeat visits.

Responsibilities
  1. Open and close facilities as required, ensuring security.
  2. Prepare and stock suites daily.
  3. Manage stock levels and update the Operations office.
  4. Prepare swipe cards for hearings.
  5. Greet clients promptly at reception, maintaining the IAC service standards.
  6. Manage deliveries and client drop-offs at Chancery Lane.
  7. Handle the switchboard for members and staff, relay messages efficiently.
  8. Research and prepare client profiles in advance of visits.
  9. Maintain and update the internal database with client preferences.
  10. Coordinate team coverage for hearing floors.
  11. Arrange courier deliveries, UK and international.
  12. Stay informed on policies, procedures, and general information to assist visitors.
  13. Serve breakfast, lunch, and hot drinks.
  14. Clear and clean breakout suites and hearing rooms, manage dishwashing.
  15. Replenish refreshments and keep suites tidy.
  16. Report building issues or hazards to the Ops Manager.
  17. Assist with bookings, travel, and appointments.
  18. Support the organization of internal and external events, including badge and itinerary preparation.
  19. Maintain close communication with the Operations Manager and team members.
  20. Adhere to dress code and maintain a professional appearance.
  21. Provide high-level customer service at all times.
Skills
  • Experience as a Receptionist or Front of House role.
  • Proficiency in Microsoft Office Suite.
  • Experience with office equipment.
  • Professional demeanor and appearance.
  • Strong communication skills.
  • Resourcefulness, initiative, and proactive problem-solving.

Working Hours

8 hours daily plus 1-hour lunch, with shifts generally between 7:30 am – 9:00 pm. Start times may vary from 6:30 am to 10:00 pm.

Remuneration

Salary: Up to £28,000 per annum.

Annual Leave: 20 days paid leave, increasing to 25 days after 12 months.

Pension: Employer contributes 3%, Employee contributes 5% of annual salary, under the Workplace Pension Scheme.
