Role Summary and Purpose

  • This role will be part of the team responsible for all-round repairs, ongoing maintenance, and general facilities queries across all UK offices and beyond, as required. The candidate will ensure that Arch sites are safe, compliant, and attractive for colleagues to work from.

Key Tasks and Responsibilities

  • Handle UK facilities requests via various channels (e.g., ServiceNow, Facilities inbox), adhering to set SLAs.
  • Maintain the team Facilities calendar.
  • Assist with project planning and coordination with stakeholders (contractors, vendors, etc.) as needed.
  • Populate facilities systems related to UK sites (e.g., Smartsheet, iOFFICE, HVAC system) and generate management reports.
  • Coordinate with UK-wide building management and address facilities issues.
  • Conduct onsite visits across UK sites; travel may be involved.
  • Assist with regional office construction projects under the Facilities PM's guidance.
  • Manage archive records and confidential waste.
  • Vendor Management: research, review, and present vendor assessments; maintain records; manage relationships; oversee budgets and invoicing.
  • Support the Health and Safety program: monitor training, certificates, expiry dates, arrange assessments, and follow up on issues (RAG report).
  • Collaborate with other Facilities team pillars (PM, Front of House, Data & Leasing).
  • Assist with Travel inbox and related issues as needed.
