Job Description

The Role

As Facilities and Office Services Coordinator, you will play a key role in ensuring the smooth running of the London office, supporting day-to-day operations. You’ll be involved in a wide range of responsibilities across facilities, office services, health & safety, and vendor management.

Key Responsibilities
  • Assist in managing facilities functions including maintenance, lighting, air-conditioning and security.
  • Support office moves and setups, ensuring readiness for new joiners and internal relocations.
  • Help maintain high housekeeping standards and oversee confidential waste disposal and recycling.
  • Coordinate meeting room setups and ensure office equipment is maintained.
  • Support office services including mail distribution, printing/scanning, courier bookings, and resource stocking.
  • Assist with vendor invoice processing and contract monitoring.
  • Contribute to the development and maintenance of the Business Continuity Plan.
  • Support building security protocols and access pass management.
  • Assist with health & safety compliance, including fire safety, first aid, workstation assessments, and accident reporting.
  • Participate in special projects, including the planned office relocation.
About You
  • Previous experience in a law firm environment
  • Health & Safety qualification (IOSH or NEBOSH) is highly desirable.
  • Strong operational awareness and a hands-on, solutions-focused approach.
  • Excellent communication skills and the ability to work with stakeholders at all levels.
  • Calm under pressure, with strong multitasking and prioritisation skills.
  • A collaborative team player with a high level of discretion and professionalism.
