We're looking for a proactive individual to provide high-level business and facilities support within our Lifelong Learning team. This role involves delivering specialist administrative services for the senior management team, coordinating resources, and managing facilities staff to ensure smooth operations and excellent service delivery.
Responsibilities:
- Lead the administration of additional service projects, ensuring all business contract requirements are met and delivered to a high standard.
- Maintain and monitor key data, ensuring timely updates across databases and spreadsheets, and regularly report progress to the Senior Management Team (SMT).
- Coordinate training sessions and meetings, including SMT diary management, room bookings, venue arrangements, and attendance tracking. Use initiative to schedule dates and ensure refreshments are in line with Council policy.
- Oversee caretaking services across Lifelong Learning Centres and the Kier Project Co corporate PFI contract. This includes performance management, appraisals, workload prioritisation, and contract monitoring to ensure centres are safe, secure, and welcoming.
- Ensure compliance with safety and regulatory standards by maintaining fire and incident plans, risk assessments, and security policies. Work closely with internal teams and external partners to meet Council, HSE, and service level agreement requirements.
Skills and Experience:
- Excellent organisation skills with experience of managing data, coordinating meetings, and handling diaries and bookings efficiently.
- Clear communication skills and attention to detail with the ability to cascade information accurately and follow procedures effectively.
- Teamworking skills to work effectively with others to meet deadlines and complete work to the required standards.
