Establishing ourselves within the UK in late 2020, we are committed to collaborating with lawyers, conveyancers, lenders, government and the property industry, to set the new standard for both remortgages and buying and selling property.
The Executive Support Manager sits at the centre of our UK business, working closely with our CEOs, Executive Committee and Board to keep strategic priorities moving.
You’ll bring structure, coordination and follow-through to a busy executive environment. You’ll prepare strategy and Board papers, manage governance rhythms, track actions and deadlines, and make sure leaders have the information they need to make good decisions.
Alongside this, you’ll provide strategic diary and event management for members of the Executive team and lead an Executive Support Assistant. This role needs someone who can see the bigger picture while staying on top of the detail. You’ll understand how the business works, spot gaps or vulnerabilities early and take the initiative to address them. You’ll be trusted with highly sensitive information and will build strong relationships across the UK business and wider PEXA Group.
What You'll Be Doing
- Working closely with the CEOs and Executive team to coordinate strategic priorities, track progress and maintain momentum.
- Preparing high-quality strategy papers, Board reports, presentations, briefing packs and external communications.
- Coordinating UK and Group Board updates, working with senior leaders to gather accurate information and meet deadlines.
- Managing the governance and reporting rhythms for the UK Executive team, including weekly ExCo Huddles and monthly ExCo meetings.
- Preparing agendas and papers, recording decisions and actions, and following up with owners to keep delivery on track.
- Reviewing priorities, challenging where appropriate and making sure actions align with the UK business strategy.
- Conducting research and preparing clear summaries to support executive discussions and decision-making.
- Managing strategic diaries and forward planning for members of the Executive team, anticipating conflicts and priorities before they become an issue.
- Coordinating Board visits, strategy sessions, executive off-sites, leadership development activity and other high-profile meetings.
- Planning domestic and international travel for the Executive team and UK Board Directors.
- Working with Marketing and Corporate Communications on executive messaging, events and internal communications.
- Coordinating wider UK engagement, including Town Halls, Collaboration Days, Campus Days and company events.
- Supporting special projects, change initiatives and business development activity.
- Managing and developing an Executive Support Assistant, setting clear priorities and maintaining high standards across executive support.
- Building strong relationships with colleagues across PEXA UK and the wider Group, as well as customers, advisers, government contacts and industry bodies.
- Maintaining accurate records, systems and stakeholder information with care and complete confidentiality.
What We're Looking For
You’ll be an experienced executive support professional from within a regulated industry (preferably FS or FinTech) who is comfortable working closely with CEOs, Boards or Executive teams. You’ll combine excellent organization with sound judgement, strong written communication and the confidence to work with senior stakeholders.
You’ll also bring:
- Experience preparing Board or Executive papers, reports, presentations and briefing materials.
- Strong governance, action-management and project-coordination skills.
- The confidence to challenge priorities constructively and hold senior stakeholders to agreed actions and deadlines.
- A proactive, self-directed approach and a track record of seeing work through without close supervision.
- The ability to anticipate what’s coming, identify gaps and put practical solutions in place.
- Exceptional diary, meeting, travel and event-management skills.
- Experience managing or mentoring executive support colleagues.
- Strong written communication and the ability to turn complex information into clear, well-structured materials.
- Excellent stakeholder-management skills, with diplomacy and persistence when needed.
- Strong emotional intelligence and the ability to read situations, adapt your approach and remain calm under pressure.
- Absolute discretion, integrity and sound judgement when handling commercially sensitive or confidential information.
- The ability to manage competing priorities and work effectively in a fast-moving, sometimes ambiguous environment.
- Strong attention to detail and confidence using Microsoft Office and scheduling tools.
Where You'll Work
We’d ideally like you to be based in or around Leeds, working on a hybrid and flexible basis. We’re also open to hearing from exceptional candidates based elsewhere who can build a strong connection with the business and travel when needed.
The role will involve some travel to London and Thame, typically around once a month depending on business priorities.

Our Executive team is well prepared, priorities are clear and agreed actions keep moving. Board and strategy papers are thoughtful, accurate and delivered on time. Meetings are purposeful, governance is consistent and the wider business feels informed and connected.
