The Role

We are seeking a proactive and resourceful Executive PA to provide direct support to the Managing Director. This is a pivotal role requiring discretion, excellent communication, and strong problem-solving skills. The successful candidate will demonstrate initiative, anticipate needs, and ensure the smooth day-to-day running of the business.

Key Responsibilities:

  • Provide high-level administrative and organisational support to the Managing Director.
  • Manage diaries, prioritise appointments, and coordinate meetings and travel.
  • Oversee and manage the Managing Director's email inbox - prioritising messages, drafting responses, and ensuring timely follow-up.
  • Prepare reports, presentations, and professional correspondence.
  • Take initiative to identify and resolve problems before they escalate.
  • Liaise with clients and stakeholders, always representing the firm with professionalism.
  • Handle confidential information with the utmost discretion.
  • Support wider team operations and assist with ad hoc projects as required.

Additional Responsibilities:

  • Prepare agendas, take minutes, and follow up on action points from meetings.
  • Organise internal and external meetings, events, and networking opportunities.
  • Assist with small projects - research, background preparation, and tracking deadlines.
  • Support implementation of new systems, processes, or business initiatives.
  • Manage expenses, assist with invoices, and liaise with suppliers and service providers.
  • Oversee office supplies, facilities, and general operational requirements.
  • Provide support with recruitment administration, onboarding of new staff, and maintaining HR/training records.
About You

We are looking for someone who is:

  • Highly organised, with excellent attention to detail.
  • Skilled at prioritising and managing competing demands.
  • Professional and confident in client-facing interactions.
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Experienced in a senior PA, Executive Assistant, or similar role - ideally in a professional services environment.
  • Discreet, reliable, and comfortable working independently.
