Lagan Services Ltd (part of the Lagan Specialist Contracting Group) is now recruiting for an ExecutivePersonal Assistant Company: Lagan Services Limited Job Type: Part-time (2 days per week Tuesdays and Thursdays) Location: Belfast Role Overview To provide secretarial and administrative support to the Chairman of Lagan Specialist Contracting Group to allow the effective and efficient operation of the role. What you'll do The following reflects the main tasks associated with your position and are not intended to be exclusive or exhaustive: To carry out general secretarial and administrative support duties for the Chairman including the production of draft correspondence, draft documents, reports and presentations, ensuring that these meet the objectives of the communication. Open and prioritise all non-confidential mail, including e-mails, providing a synopsis of all mail, initiating own correspondence where appropriate, seeking advice as necessary. Ensure that an organised filing system is developed and maintained to allow the control of all documentation. Maintain an up to date diary for the Chairman, including scheduling meetings and collating and distributing working documents as required. This will also include travel arrangements where necessary, ensuring that contacts and working relationships are developed with relevant agents. Coordinate and organise internal and external events Where appropriate to attend meetings to record minutes and if required, to provide refreshments at such meetings. Screening and redirecting, where appropriate, all incoming calls, ensuring that all messages are relayed to the Chairman and appropriate Directors. Assistance in the preparation of presentations and reports. Prepare expenses claims and record all credit card transactions General administration including, document control, photocopying, typing, faxing, and filing. Compliance with Health and Safety Regulations. To undertake any other reasonable duties as required. Communication with external bodies including clients, travel companies etc. Key Challenges Dealing with large volume communications and prioritising this for the Chairman To interpret and reorganise available and relevant information to allow the Chairman, to solve operational problems. Organisation of a busy diary, including ensuring meetings are scheduled, organised, and attendees are informed. Ability to adhere to strict deadlines To build the administration function and propose improvements to effectiveness and efficiency of the role. What you'll bring As a Personal Assistant your main skills and experience will include: Essential: At least two years experience in a PA role / Senior Administrator role Experience of setting up and maintaining manual and computerised files Experience in MS Office packages and a high standard of computer literacy Ability to prioritise tasks Ability to work to deadlines Excellent written and verbal communication skills Confidentiality. Ability to work on own initiative and problem solve.
