Job description

A part time option for 4 days a week can also be considered.

You will work closely with the Executive Director to provide executive diary and administrative support as required. You will work efficiently, both independently and as part of a team, managing time effectively and adhering to deadlines set and proactively resolving issues in conjunction with the Executive Director.

You will provide personal assistance in the form of diary management and organising travel arrangements, processing expense claims and other internal procedures, dealing with incoming and outgoing correspondence, and filing (paper and digital) for Executive Directors. You will diarise regular internal, external and departmental meetings and be responsible for the organisation of diary commitments for the Executive Director.

You will provide practical, logistical and in-person support for meetings for the Executive Director. You will liaise and coordinate with multiple internal teams to arrange room bookings, AV, catering, tours and presentations. You will act as a key point of contact for the Executive Director's external visitors.

You will prepare briefs, speaking notes and presentations on behalf of the Executive Director and process documents for signature where required, liaising with multiple teams to compile the necessary content.

When required, you will organise and arrange international travel for the Executive Director including scheduling itineraries, booking travel, processing visas, and liaising with international stakeholders to arrange museum visits and alike.
