Birmingham City FC is seeking an Executive Assistant to support the Women's Team Technical Director. This role involves comprehensive administrative support, project coordination, and stakeholder management in a fast-paced sports environment. The ideal candidate will have proven executive administrative experience and strong organizational skills.
The Executive Assistant will provide comprehensive administrative, organisational, and strategic support to the Technical Director of the Birmingham City Women's Team. This role will coordinate day-to-day operations, manage communications, and liaise with internal and external stakeholders.
As the ideal candidate, you will have extensive executive administrative experience and thrive in a fast-paced, dynamic sports environment, while also demonstrating strong business acumen and the ability to manage complex projects and drive organisational effectiveness.
Key Responsibilities:
Executive Support:
Act as the primary point of contact between the Technical Director and internal/external stakeholders.
Manage the Technical Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
Ensure the Technical Director is well-prepared for meetings by preparing agendas, reports, presentations, and briefing documents.
Handle email and phone communications on behalf of the Technical Director, prioritising and responding to requests as appropriate.
Coordinate high-profile events such as press conferences, team meetings, and stakeholder engagements.
Attend meetings, take minutes, and ensure follow-up actions are completed.
Administrative Management:
Maintain confidential files and records, ensuring the security and accuracy of sensitive information.
Prepare and submit expense reports and manage any financial tasks related to the office, including budgets.
Support with travel itineraries, visas, accommodation, and transportation for domestic and international travel related to the Technical Director’s role.
Project Coordination:
Coordinate with departments such as HR, IT, Finance, and Operations to assist in decision-making processes.
Manage special projects involving high-level stakeholder engagement and collaboration with external partners.
Support the Technical Director in executing strategic projects, tracking progress, and ensuring deadlines are met.
Stakeholder Management:
Liaise with players, coaches, staff, and external partners, ensuring professional and effective communication.
Develop strong working relationships with key stakeholders, including team executives and coaching staff.
Assist in managing relationships with partners, including sponsors, media outlets, and community organisations.
Strategic Support:
Assist in preparing key strategic documents such as performance reports, player evaluations, and development strategies.
Provide insights, research, and analysis to support the Technical Director’s decision-making.
Manage communication between the Technical Director and other departments, ensuring information is disseminated accurately and promptly.
Contribute to the development and implementation of business strategies to enhance operational efficiency and effectiveness.
What we're looking for in you:
Experience:
Proven experience as an Executive Assistant
Previous experience working closely with senior executives is preferred.
Strong organisational, communication, and problem-solving skills.
Demonstrated ability to manage complex projects and drive organisational initiatives.
