Executive Assistant to the COO & CFO

Purpose

As Executive Assistant to the COO & CFO, you will be the strategic operational backbone supporting executive leadership across all business units. You'll manage complex calendars, communications, and administrative functions while serving as a trusted liaison between executives and stakeholders. Your exceptional organisational abilities and business acumen will enable senior leadership to maximise their effectiveness, ensuring seamless execution of priorities and contributing directly to the company's operational excellence and growth objectives.

Responsibilities Executive Support & Coordination
  • Provide full diary, meeting, and inbox management for the COO & CFO

  • Attend meetings with the COO & CFO when required and ensure key actions are tracked and followed up

  • Create and maintain SOPs (Standard Operating Procedures) for routine tasks

  • Support key business processes as required

  • Manage expenses and travel plans

  • Prepare and coordinate documentation and presentations to support internal and external meetings

  • Collaborate closely with the Executive Assistant team to support corporate activities including Leadership meetings and internal events

  • Organise and maintain digital filing systems, ensuring easy access to important documents

  • Manage special projects as assigned by the COO & CFO

  • Assist with quarterly business reviews and board meeting preparations

  • Coordinate with IT for executive technology needs and troubleshooting

  • Prepare agendas, supporting materials, and take detailed minutes for leadership meetings, extracting from recorded transcripts where required

  • Coordinate cross-functional meetings, ensuring all participants are prepared

  • Manage follow-up communications and track action items to completion

  • Facilitate virtual meetings including technical setup and troubleshooting

Team Coordination & Support
  • Serve as a key liaison between the executive team and other departments

  • Coordinate team activities, recognition, and culture-building initiatives

  • Prepare and distribute team communications on behalf of the executives

  • Support onboarding of new team members reporting to the COO & CFO

  • Assist with team event planning and logistics

Communication & Stakeholder Engagement
  • Ensure incoming communications are managed and responded to on behalf of the COO & CFO to maintain an exceptional customer experience

  • Build strong relationships with colleagues, customers, and external stakeholders, acting as a trusted representative of the COO & CFO and the Causeway brand

  • Maintain a courteous and professional tone in all communications (phone, email, and face-to-face)

  • Follow up with department members to ensure meeting actions and deadlines are met

Skills, Experience, and Qualifications Essential Skills
  • Experience handling sensitive information with discretion, confidentiality, and sound judgment

  • Excellent verbal and written communication skills, with strong grammar, spelling, and attention to detail

  • High level of proficiency with Microsoft 365, including advanced PowerPoint design

  • Resilient under pressure with ability to remain calm during stressful situations

  • Proven ability to work independently, prioritise effectively, and follow through on deliverables

  • Professional credibility and a track record of integrity and accountability

  • At least A-level or equivalent education

  • Experience with project management software (e.g. Monday.com)

  • Flexibility to occasionally work outside standard business hours when required

  • Willingness to support ad-hoc requests during business-critical periods
