A dynamic and rapidly growing construction company is offering an exciting opportunity for a highly organised and proactive Executive Assistant to support its Directors. This multifaceted role requires exceptional communication skills, strong event planning experience, and meticulous attention to detail.
You will be responsible for managing a wide range of administrative and executive support tasks, as well as coordinating high-profile client engagement activities throughout the year. The ideal candidate will be a confident self-starter, capable of working independently and maintaining professionalism when handling sensitive and confidential matters.
This is a full-time position based from their stunning offices in South East London, with the opportunity for hybrid working following successful completion of the probation period. DUTIES TO INCLUDE
• Manage and maintain an up-to-date client database
• Monitor event budgets and conduct cost analysis
• Provide diary and inbox management for company directors
• Schedule meetings, appointments, and events using Microsoft Outlook
• Organise travel, restaurant bookings, and accommodation
• Plan and execute 5–6 large-scale client events annually (e.g. golf days, shooting events, go-karting) with 100–200 guests
• Coordinate the distribution of sports event tickets (e.g. football, rugby, horse racing) for clients and staff
• Liaise with venues and vendors to secure competitive pricing and quality service
• Prepare and send timely event communications and invitations
• Act as primary contact for internal and external stakeholders
• Handle confidential information with discretion
• Prepare reports and documents for directors
• Maintain organised filing and contact systems
• Provide general administrative support to ensure smooth office operations
ESSENTIAL CRITERIA
• Proven experience as an Executive Assistant or in a senior administrative role
• Excellent organisational and time management skills
• Event management experience
• Strong verbal and written communication abilities
• Proficient in Microsoft Office, particularly Outlook, Word, and Excel
• Ability to prioritise tasks and manage competing deadlines
• Skilled in negotiation and budget management
• Discreet, professional, and trustworthy
• Right to work in the UK
• Strong verifiable references
