Executive Assistant to Managing Partners - London
Our client, a successful Wealth Management firm in the heart of London, is seeking an EA to support several Managing Partners. Reporting to the Partners, you will oversee daily Pod Team administration, assisting Advisors and PAs in meeting client expectations and supporting client operations. You will also identify and review process improvements to ensure high-quality service.
- PA Duties: Diary and inbox management
- Compile weekly stats, upload meetings to CRM, and track KPIs
- Client servicing: Conduct compliance due diligence checks, upload performas, ensure clients are signed up to e-briefings and online access, and schedule reviews and APT meetings
- Prospect servicing: Book subsequent meetings and act on information received from clients and providers
- Administrative duties: Verify LOA completion, send tasks via CRM, follow up with BST members, providers, and clients
- Recommendations: Update CFR in line with Voyant, send tasks to EBS/Paraplanners, create handovers
- Business Register: Chase outstanding funds from clients and providers, resolve case delays
- Meeting packs: Prepare basic Voyant reports including expenditure questionnaires
- Meeting notes: Complete actions, update trackers (LOA, BR, Dlist, Client & Prospect)
- Pod Management: Ensure pod alignment with client processes, produce reports on administration demands, monitor KPI performance and issue management
- Develop an Advisor Learning & Development programme with the MD to address skills gaps and training needs
Person Specification:
- Experience building rapport and effectively interacting with clients
- Driven, client-focused, and capable of fostering a high-performance culture
- Adaptable to change management initiatives
- Highly organized with strong multi-tasking skills
- Numerical proficiency in analyzing financial data and performance metrics
- Confident in influencing senior stakeholders
- Ability to work independently and follow C-Suite directives
- Motivate and mentor team leaders for business efficiency
- Proficient in Office 365 and IT tools
