WorkSmarter Ltd. in Bournemouth is seeking an Executive Assistant to Directors to act as the right hand to the senior team, owning time, priorities and a portion of personal tasks.

You will manage complex diaries, gatekeep Directors' time, prepare materials, and lead projects with a proactive, discreet approach. The role offers full-time hours from our Bournemouth office with a fast-growth travel focus and excellent benefits, including pension and career advancement opportunities.

Qualifications

  • Minimum 3 years' experience in an EA or senior PA role.
  • Strong diary and inbox management skills with prioritisation.

Responsibilities

  • Complex diary and inbox management for multiple senior people, prioritising and acting on their behalf.
  • Gatekeeper to protect Directors' time and attention.
  • Attend meetings, take minutes, chase actions, and deliver outcomes.
  • Prepare presentations, reports and investor-ready materials.
  • Project-manage initiatives end-to-end to reduce workload.
  • Organise internal and external events.
  • Research and analysis to support decisions.
  • Support onboarding of new team members (credit checks, contracts).
  • Represent a Director in meetings when required.

Executive Assistant to Directors (Fast Growth Travel Company)

We are looking for an exceptional Executive Assistant to become the right hand to our Directors — someone who takes real ownership of their time, their priorities, and (in part) their life outside the office too.

Role Info
  • You’ll directly support the Directors of the business and other key senior team members
  • Roughly 80% of your time will be spent on EA duties — proactive gatekeeping, project ownership, meeting management, and reducing the Directors' workload
  • The remaining c.20% will be dedicated personal support to a Director — practical life admin and logistics, for example house-hunting, personal appointments, or other time‑consuming personal tasks that take a Director away from running the business
  • You will have a diverse range of tasks from meeting preparation and reports, to event management, to personal life admin
  • Based at our Bournemouth offices near Bournemouth airport
  • Minimum 3 years' experience in a similar EA or senior PA role

About You

You should have a genuine passion for being an Executive Assistant that shines through in everything you do — plus an excitement for working within travel and helping others. Results and attention to detail should be second nature, and you’ll have the knack of second‑guessing what the senior team need before they’ve asked.

You’ll be calm under pressure, discreet with sensitive information (business and personal), love fast pace and change — and you’ll genuinely enjoy being trusted with things that matter, both inside and outside the office.

The Role — EA Responsibilities (c.80%)
  • Complex diary and inbox management for multiple senior people, with the judgement to prioritise, filter, and act on their behalf within agreed limits
  • Acting as a first point of contact and gatekeeper — protecting Directors' time and attention
  • Attending key meetings, taking minutes, and making things happen after meetings — chasing actions, not just recording them
  • Preparing presentations, reports, and board/investor‑ready materials
  • Project managing initiatives end‑to‑end to reduce senior team workload
  • Event organisation, from internal team events to external/trade events
  • Research and analysis to support decisions
  • Supporting the onboarding of new team members (credit/reference checks, contracts, documenting process)
  • Representing a Director in meetings or communications when required
  • Excellent organisational and communication skills, professional and pleasant manner
  • Very high attention to detail
The Role — Personal Support (c.20%)
  • Practical, time‑consuming personal life admin and logistics for a Director — for example house‑hunting and moving, personal appointments, or other tasks that would otherwise eat into time running the business
  • Scope and priorities agreed directly with the Director, and expected to change over time as personal circumstances do
  • Full discretion and confidentiality with personal information, exactly as you'd apply to business information
What Success Looks Like & How We’ll Work Together
  • You’ll have a direct line to the Director(s) you support and will be briefed verbally on priorities, not just by email — email is not a to‑do list here, so we’ll make sure you’re never chasing an inbox for direction
  • You’ll be given clear decision‑making boundaries: what you can decide and act on yourself, and what needs a quick check‑in first — so you’re empowered, not guessing
  • Regular short briefings rather than long, infrequent meetings

Hours

Full‑time, equivalent to 40 hours per week. Additional hours may be required to support senior managers whilst at overseas events, and you may be required to attend these events for further support. Ability to travel to UK‑based ‘out of office’ meetings and events is required; travel to overseas events is not required but is desirable. Occasional out‑of‑hours support is not unreasonable, limited to covering time zone differences while senior managers are traveling.
