Position: Executive Assistant to Director of Operations (Part-Time)
Location: Head Office, Witney
Hours: 21 contracted hours per week. The pattern can be over a 3 full day period (preferably Mon, Tue & Thu) or spread over a 5 day period.
Salary: Up to £22,832.33 per annum (Including Geographical Allowance)

We’re looking for an Executive Assistant to support our Director of Housing and Director of Support and play a key role in helping us deliver high-quality services and strategic projects
What You'll Be Doing:
As Executive Assistant, you’ll provide high-level administrative and project support to both Directors and other senior leaders. Your responsibilities will include:
Executive Support

- Managing diaries, scheduling meetings, and coordinating communications on behalf of the Director.
- Drafting, reviewing, and sending correspondence, reports, and presentations—often of a confidential nature.
- Supporting the preparation and submission of expense claims and invoices.

Meeting & Governance Support

- Acting as secretary for the Safeguarding Panel and monthly safeguarding meetings.
- Organising and preparing for meetings, including logistics, agendas, and document collation.
- Acting as secretary for meetings as required, including Board and committee meetings, monthly safeguarding meetings, Housing Senior Management Team meetings, and Housing Continuous Improvement Group.
- Providing admin support to the Housing Continuous Improvement Group

Project Coordination

- Supporting the coordination and communication of key projects led by the Director.
- Maintaining schedules for policies and procedures within Housing and Support, including the coordination of policy review and circulation for approval.
- Preparing the Senior Manager On-Call rota for ICT.

Information & Systems Management

- Organising and maintaining both paper and electronic filing systems.
- Managing or supporting projects on behalf of the Director as needed.

About You:
We’re looking for someone who:

- Has experience in a senior administrative or executive assistant role.
- Is confident, discreet, and able to handle sensitive information.
- Communicates clearly and professionally, both in writing and in person.
- Is highly organised, with excellent attention to detail and time management skills.
- Can work independently and manage multiple priorities effectively.
