Job Description

This is an excellent opportunity for an Executive Assistant based in London to provide administrative and operational support to the Chief of Staff and UHNWI. Confidentiality is essential, and a proven track record supporting at this level is required. We seek a true right-hand person who is highly organized, resilient, detail-oriented, and capable of managing a busy, ever-changing workload. The role involves travel and a 24/7 mentality, and discretion is paramount when handling sensitive information.

Major Duties and Responsibilities:

  • Manage calendars meticulously, coordinating business and personal meetings and movements, exercising discretion in scheduling and prioritization.
  • Attend to emails requiring action or follow-up, ensuring timely responses.
  • Maintain and update contact lists.
  • Draft notes, memos, letters, and reports.
  • Arrange travel and prepare detailed itineraries.
  • Organize mail and files efficiently.
  • Plan, organize, and coordinate events across various locations.
  • Handle social event details, including invitations, RSVPs, and liaising with vendors and staff, and provide support during events.
  • Assist with various projects as needed.
  • Attend meetings, prepare and print documents, agendas, and transcribe minutes.
  • Coordinate coverage for other Executive Assistants during leave.
  • Provide general administrative support.

Qualifications:

  • Degree preferred.
  • Extremely detail-oriented, organized, professional, and reliable.
  • Proactive and forward-thinking.
  • Maintain a positive attitude and willingness to assist team members.
  • Excellent written and verbal communication skills.
