We are seeking an experienced Executive Assistant to support our Vice President of Studio Finance & Strategy, EMEA . This role is a 12 months maternity coverage based in London.

The successful candidate will be self-motivated, proactive, quick-thinking, flexible, and able to juggle multiple and diverse responsibilities. They will need to have a strong emphasis on organization and unwavering attention to detail at all times, and interest and enjoyment in planning team activities and events. This is a demanding and fast-moving position that requires someone who can exercise good judgment and significant initiative.

Responsibilities

  • Maintain a high-volume, complex calendar, including scheduling meetings, internally and externally, with multiple parties across multiple time zones.
  • Managing a heavy volume of communication internally and externally, displaying a high level of professionalism.
  • Reading, researching, and routing correspondence; drafting emails and documents; collecting and analyzing information
  • Provide support and coordination for projects and initiatives such as the creation of presentations & organizational charts and updating trackers with key business data and information to support projects.
  • Coordinate extensive domestic and international travel arrangements
  • Attend and take notes in meetings and circulate pertinent information to the broader team.
  • Work collaboratively with administrators and coordinator across various functions (e.g., Content, Physical Production, Post Production, Marketing, Finance, & other internal partners etc.)
  • Plan team and cross-functional offsites through coordination with hotels and vendors for lodging, catering, flights, A/V, and transport
  • Support with ad hoc projects, including team projects & events, preparing a presentation, org charts, spreadsheets, etc.
  • Provide additional support to team members located in multiple countries, with a focus on assisting the Director of Production Finance for Emerging Markets with their specific needs and responsibilities.

Qualifications

  • At least 5+ years experience as an Executive Assistant
  • Team player with the ability to coordinate multiple projects simultaneously within a fast-paced environment
  • Previous experience working with an international team is preferable for this role
  • Excellent organisational and time management skills
  • Excellent attention to detail
  • Comfortable dealing with confidential or sensitive information
  • Willingness to make informed decisions and think outside of the box
  • Understanding of how to prioritise and respond accordingly
  • Tech-savvy with proficiency in Google suite apps, a high degree of comfort in learning and working with online tools and applications
  • Strong written and verbal communication skills in English
