Job description

This is a new role, based in London, supporting the Chief Growth Officer, the EVP EMEA, and the CFO of the Marketing Services Practice. We are looking for a proactive and highly competent EA who will provide professional, client-focused support to senior stakeholders in a dynamic and fast-paced environment. The individual needs to be adaptable, dynamic, and confident in their ability to build relationships and influence stakeholders. The role will involve proactive support across a broad range of responsibilities.

Responsibilities:

  1. Effective gatekeeping, forward planning, and scheduling
  2. Organise and manage events and off-sites
  3. Ensure appropriate meeting logistics, such as room setup, refreshments, AV, etc.
  4. Preparation and timely circulation of agendas, materials, minutes/actions, and follow-up
  5. Administer expense claims and ensure timely processing
  6. Utilise the travel platform to organise travel, including visas and itineraries
  7. Utilise Excel or Google Sheets for data management and analysis
  8. Confirm all logistics regarding speaking engagements and attendance at events
  9. Assist in scheduling and coordinating virtual meetings, face-to-face meetings, and events

About You

The essentials:

  • 3+ years of experience in a similar role
  • Exceptional organisational skills and attention to detail
  • Strong communication and interpersonal abilities
  • Proficiency in Microsoft Office suite and Google Sheets
  • Ability to manage multiple tasks and deadlines effectively
  • Discretion and professionalism in handling confidential information
