Job description

Executive Assistant - Pensions

ROLE PURPOSE

To provide a wide range of administrative support to:

  1. The Board of Trustees of the Pension Fund
  2. Pension Director
  3. Trustee Pensions Manager
  4. Corporate Pension Manager
  5. Other Pensions Centre team members as required.
ROLE DETAIL
  1. Arrange an annual programme of Trustee Board meetings, sub-committee meetings and adviser meetings in accordance with Trustee's Annual Plan.
  2. Assist the Trustee Pensions Manager in the production of agendas, minutes, on-line board meeting packs using Diligent Boards, and other meeting papers as required.
  3. Organise and produce other (confidential) papers and reports.
  4. Arrange for legal documents to be signed.
  5. Maintain accurate and secure paper-based/electronic filing systems, including archiving.
  6. Maintain full confidentiality of sensitive and confidential business issues.
  7. Screen incoming mail, telephone calls, emails and messages and manage responses directly on behalf of the team, as required.
  8. Book travel and accommodation using corporate suppliers, adhering to company travel and expenses policy.
  9. Prepare and track personal expenses and other ancillary expenditure.
  10. Work with Facilities Management to ensure the office is safe, well-organised, and tidy, and any FM/HSES issues are followed up with relevant internal/external suppliers.
SKILLS & EXPERIENCE
  1. Skilled user of Microsoft Outlook, Teams, PowerPoint, Word and intermediate user of Excel.
  2. Has previous experience of working for senior executives.
  3. Highly organised and able to work on own initiative with limited supervision.
  4. Discreet and confidential and able to handle issues with great sensitivity.
  5. Ability to engage and build effective relationships.
  6. Strong communication and influencing skills.
  7. Demonstrable ability to prioritise and manage conflicting priorities during busy periods.
  8. Able to demonstrate a logical, proactive approach.
  9. Possesses a high degree of attention to detail.
  10. Proven ability to work well under pressure and to tight timescales.
  11. Knowledge of pensions terminology desirable but not essential.
