Overview

Executive Assistant/ PA (Part-Time) | Remotely based in Leeds/York area

We’re looking for a proactive and highly organised Executive Assistant to support our Managing Director in her day-to-day recruitment work and with general business operations. This is a varied position where you’ll help keep everything running smoothly, from managing inboxes to updating candidates and creating playbooks that improve how we work.

About the Role

This is a part-time role, working 1-2 hours per day initially (Monday to Friday) with flexibility around when those hours are worked. There is scope for hours to increase and the role to grow during busy periods and as the business continues to expand. You’ll be someone who enjoys using technology to streamline admin and communication, loves organising, and is comfortable juggling multiple priorities. Once up to speed, you’ll be confident anticipating what needs to be done and taking initiative ensuring tasks progress smoothly without needing direction.

Key Responsibilities
  • Manage and prioritise the Managing Director’s inbox and respond to emails where appropriate.
  • Schedule meetings, manage diaries, and coordinate follow-ups.
  • Update candidates and clients via telephone, email and CRM.
  • Prepare, format, and update documents, templates, and playbooks.
  • Support with business admin, recruitment coordination, and project organisation.
  • Provide support with marketing, networking and business development activities
  • Use Microsoft Office, Teams, and other online tools confidently.
  • Explore ways to improve efficiency through AI and automations.
  • Occasionally support with personal and "life" admin tasks.
What We're Looking For
  • Previous experience as an Executive Assistant, PA, or Operations Administrator.
  • Highly IT literate with strong proficiency in Microsoft Office and Teams.
  • Confident using CRM systems and project management tools such as Trello.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to prioritise effectively.
  • Proactive mindset with the ability to anticipate needs and act on initiative.
  • Confident working independently in a fast-paced, small business environment.
  • Interest in technology, AI, and continuous improvement.
What’s on Offer
