Requirements
- Minimum of 7 years’ experience as an Executive Assistant or Office Manager or Personal Assistant in a fast-paced corporate, investment, or professional services environment in a dynamic growing firm.
- Exceptional command of professional English, both written and verbal, with the ability to communicate confidently with C-level executives, clients, and international partners.
- Proven track record of supporting senior leadership with calendar management, travel coordination, high-volume correspondence, and confidential matters.
- Experience in managing high-pressure situations and shifting priorities with professionalism, speed, and accuracy.
- Demonstrated ability to act as a liaison with recruiters and headhunters, managing interviews, conducting screening interviews, candidate pipelines, and executive communications.
- In this role, you will also be actively involved with the Recruitment and Headhunting department. Prior experience in recruitment and headhunting is preferred.
- Strong attention to detail, organizational discipline, and a proactive, solutions-driven mindset.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), familiarity with virtual meeting platforms (Zoom, Microsoft Teams etc.), and other productivity tools.
- Understanding of the talent landscape within the financial services industry, including compensation structures, career progression, and key market players (preferred).
- Experience in developing and implementing office strategies that align with the goals.
- Ability to manage and prioritize multiple mandates while working under tight deadlines in a fast-paced environment.
- Expertise in employee relations, organizational development, and compliance.
- Strategic thinker with a proactive approach to office management, culture building, and development.
Preferred Experience:
- Prior experience supporting a C Level and senior executive in a dynamic, growing firm.
- Familiarity with recruitment pipelines, conducting screening interviews, interview scheduling, and candidate communications.
Core Responsibilities:
As an Executive Assistant / Office Manager, you will work directly with the senior leadership team to ensure the smooth running of the office and executive support functions. Your key responsibilities will include:
- Acting as the primary point of contact among C-Level executives including recruiters and partners.
- Managing calendars, scheduling meetings, and coordinating travel arrangements for senior executives.
- Supporting internal recruitment efforts through email communications, candidate tracking, and coordination with external recruiters.
- Ensuring smooth day-to-day office operations, including vendor and facilities management.
- Drafting, editing, and proofreading internal and external correspondence in high-quality business English.
- Handling sensitive materials with discretion and professionalism.
- Supporting key business initiatives through research, documentation, and reporting.
