PA / Office Manager

This is a great opportunity for an experienced PA / Office Manager to join a fast-paced and dynamic team providing PA, Office Management and some Marketing support within a busy investment firm, located in Madrid. The PA will be the lynchpin to the office, supporting with the daily operations and strategic support for the business. The ideal candidate will be highly adaptable, tech-savvy, and experienced in managing multiple priorities while maintaining a high-performing working environment.

What You'll Do:

As a Personal Assistant and Office Manager you will anticipate the needs of the business meaning you can manage and optimise team member’s calendars effectively. Additional duties include:

  • Coordinate international travel arrangements for staff.
  • Attend meetings, take minutes, and track action items.
  • Act as the main point of contact for the office and greet visitors.
  • Prepare and maintain meeting rooms.
  • Manage and maintain expenses, invoices and financial documentation.
  • Handle confidential and sensitive information with discretion.
  • Manage relationships with vendors to ensure the office is well-maintained and supplies are in stock.
  • Plan and organise company events.
  • Oversee health and safety compliance.
  • Ensure correspondence is monitored and emails are forwarded to the relevant team member.
  • Attend weekly meetings with external marketing agency and European team.
  • Be involved in marketing strategy planning and the creation of asset brochures.
  • Maintain online systems to ensure data is up to date.
  • Maintain the website, including updating with new information.
  • Publish blogs monthly.


Who You'll Be:

  • Experience as a PA supporting high level executives in a fast-paced environment.
  • Proficient in Microsoft Office Suite.
  • Experience working within financial services desired
  • Possess excellent communication, multi-tasking and problem-solving skills.
  • Be comfortable to work independently and use initiative.
