Job description

  • Provide comprehensive administrative support to the CEO.
  • Liaise with internal and external stakeholders on behalf of the CEO.
  • Prepare reports, presentations, and correspondence.
  • Assist with personal tasks for the CEO, ensuring a smooth balance between business and private commitments.
  • Coordinate events, both professional and personal, ensuring all details are meticulously planned and executed.
  • Manage and prioritise incoming communications, responding on behalf of the CEO as appropriate.

Line Management

  • Line Management responsibility of a small Administration team.

HR Administration

  • Overall responsibility for HR Administration activities relating to UK and Belgium employees connected to their employee lifecycle.
  • Ensure a smooth and positive experience for all new starters including the management of early career reviews and probationary discussions.
  • Co-ordinate and assist in event planning, travel management and PMO activities.
  • Provide low-level guidance and support to Team Leads when dealing with employee relations matters.
  • Support with the collation of payroll submission data.
  • Provide guidance and support to all employees with queries relating to company credit card / expenses, time entry system and the Company HRIS.

Office Management

  • Support with collation of data to satisfy audit requirements, both internal and external.
  • Primary contact for all office management activities i.e. maintenance, rental and compliance.
  • Assist with the administration of all necessary visa / UK entrance documentation in accordance with government legislation.

Your Skills & Requirements

  • Minimum of two years’ experience working in a business administration / executive assistant role
  • Experience of working with executive Board members
  • Strong IT skills with experience of managing, preparing and publishing digital information, documents, spreadsheets and presentations (Microsoft and Google applications)
  • Proven ability to work collaboratively as part of a team in a deadline-driven environment
  • Experience of office management procedures and practices, including data protection legislation
  • Hybrid working – remote based contract but office working / travel when required
