Start Date: ASAP (Subject to 4-5 week vetting process)
Contract Length: 6 months initially, with potential extension up to 20 months
Pay Rate: £25.00/hour (excludes holiday pay accrual)
Overview
A leading global financial institution is seeking a highly professional and experienced Executive Assistant to support multiple teams within their Capital Markets division. This role is varied, fast-paced, and offers exposure to a high-level business environment. The successful candidate will provide both ongoing and backup administrative support, covering holidays, lunch breaks, and ad hoc needs.
Key ResponsibilitiesAdministrative & Executive Support
Manage complex diaries and schedules; act as gatekeeper and coordinate high-volume meeting requests
Arrange internal/external meetings, conference calls, and video calls across multiple time zones
Plan and coordinate global travel (flights, hotels, ground transport, visas, currency, agendas)
Submit monthly expenses through internal systems, ensuring compliance with company policy
Maintain accurate records in the internal CRM system
Assist in coordinating events (team socials, client meetings, deal closings)
Perform ad hoc tasks such as ordering business cards and supporting team projects
Buddy Team Coverage
Provide phone and admin support for bankers when designated assistants are absent
Collaborate with a group of assistants to ensure seamless coverage during breaks, holidays, and sick leave
Maintain clear and up-to-date handover notes for effective continuity
Candidate Profile
The ideal candidate will be an experienced Executive or Team Assistant with a confident, client-facing approach and the ability to thrive in a demanding environment.
Essential Skills & Attributes
Previous experience supporting senior stakeholders, ideally in Investment Banking or Capital Markets
Highly organized and detail-oriented with strong time management
Professional, proactive, and adaptable, with excellent judgment and discretion
Strong communication skills, both written and verbal
Able to take ownership of tasks and see them through without needing to be chased
Excellent interpersonal skills; a reliable team player and supportive colleague
Technical Requirements
Proficiency in Microsoft Office (especially Outlook and Excel)
Experience with expense management systems (e.g., Concur)
Familiarity with CRM platforms and online travel booking tools
Comfortable using Zoom and other video conferencing platforms
Additional Information
Full training on internal systems and processes will be provided
