Role summary/purpose of job
This role is for a proactive and highly competent EA who will provide professional, client-focused support to senior stakeholders in a dynamic, fast-paced environment. The role involves working closely with other business services teams to deliver effective solutions efficiently.

The individual must be adaptable, dynamic, confident in driving change, influencing stakeholders, and building relationships. Responsibilities are wide-ranging and offer opportunities to add value.

Support includes matter and financial management, among other duties.

Function Overview

The London assistant service provides administrative support through Admin and Personal Assistants and directly supports senior stakeholders to deliver exceptional service to clients and offices worldwide.

Key responsibilities and deliverables

Practice support

  • Manage inboxes and diaries proactively.
  • Act as first point of contact and on behalf of stakeholders.
  • Maintain Outlook and e-filing protocols.
  • Flag and escalate priority emails.
  • Draft correspondence and communicate on behalf of stakeholders.
  • Organize meetings, logistics, and prepare agendas and minutes.
  • Coordinate travel arrangements and project tasks.
  • Support administrative tasks related to external advisors and team management.

Administrative and document support

  • Handle expenses, post, archiving, and document creation.
  • Maintain document management systems and produce basic presentations.

Matter management

  • Support client and matter relationships, including meetings and documentation.
  • Draft engagement letters and manage matter-related documentation.

Financial management

  • Coordinate billing cycles, manage WIP, and handle invoices and POs.
  • Monitor budgets and assist with debt management.

Marketing and Business Development

  • Act as key client contact and support firm initiatives.
  • Maintain client data and assist with event organization and pitch documents.
