Executive Assistant (Generative Biology Institute)

EIT Oxford combines pioneering research with practical applications to deliver lasting benefits.

Key features include a state-of-the-art 300,000-square-foot research facility at the Oxford Science Park, opening in 2027, which will house advanced labs, a clinic, and collaborative spaces, strengthening ties with the University of Oxford. The GBI aims to revolutionize biology engineering by enabling precise genome synthesis and understanding DNA sequences for desired functions, supporting over 300 researchers across 30 groups.

The role of the Executive Assistant (EA) is to provide comprehensive administrative support to senior leadership within GBI. The ideal candidate will be highly organized, proactive, and capable of managing complex workflows in a fast-paced, innovative environment. Your role will be vital in facilitating effective communication and coordination across teams.

Key Responsibilities:
  • Administrative Support: Managing diaries and inboxes, arranging travel (local, national, international), acting as the primary contact for calls and meetings, booking meals, and handling expense reports.
  • Meetings and Appointments: Supporting meetings (in-person and virtual), including booking rooms, preparing agendas and reports, liaising with stakeholders, taking minutes, and following up on action points.
Requirements:
  • Significant EA experience supporting C-suite or senior executives in dynamic environments.
  • Excellent organizational skills, with the ability to multitask and prioritize effectively.
  • Proficiency in preparing presentations, agendas, and meeting minutes.
  • Experience handling confidential information with discretion.
  • Strong knowledge of Microsoft 365 and project management tools.
  • Experience in data collation, research, and report preparation.
  • Excellent communication and interpersonal skills for engaging with senior stakeholders and external partners.

Terms of Appointment:
