The role will be on a temporary basis to cover whilst the client recruits permanently.

This is a pivotal role designed to provide seamless, high-level support to the Chairman across both his professional and personal life, while also managing the day-to-day operations of a small, agile family office. It combines the responsibilities of an experienced Executive Assistant with those of a Family Office Manager, requiring operational oversight, emotional intelligence, and absolute discretion.

The successful candidate will be a trusted gatekeeper, organisational linchpin, and proactive problem-solver — ensuring the Chairman and his family are fully supported across all aspects of business, personal, and household matters.

Key Responsibilities:
  • Act as the first point of contact and liaison between the Chairman and internal/external stakeholders, both professional and personal.
  • Manage a complex and dynamic diary, coordinating high-level meetings, events, and domestic/international travel.
  • Prepare detailed itineraries, briefing packs, board papers, agendas, presentations, and notes.
  • Screen and respond to calls, emails, and correspondence on behalf of the Chairman; manage priorities with foresight.
  • Track action items, ensure follow-ups, and maintain an overview of short-, medium-, and long-term priorities.
  • Uphold strict confidentiality, acting as a trusted gatekeeper and sounding board.
Family Office Operations & Lifestyle Management
  • Oversee the efficient day-to-day running of the family office, ensuring smooth administrative processes and proactive service.
  • Coordinate with legal, financial, investment, and property advisors, acting as the operational conduit between the family and external professionals.
  • Maintain and manage digital and physical filing systems, ensuring data is secure, up-to-date, and easily accessible.
  • Support budgeting, cash flow tracking, expense management, invoice approvals, and reconciliation processes.
  • Lead planning and logistics for family events, household projects, holidays, and private functions.
  • Support management of multiple residences — liaising with contractors, managing property maintenance schedules, insurance, and household service providers.
Personal & Family Support
  • Organise all aspects of family life including children’s school schedules, medical appointments, family travel, and diaries.
  • Coordinate lifestyle services such as private memberships, health and wellness schedules, personal shopping, and gifting.
