About the Role

This role provides full secretarial and administrative support to the Head of Markets Europe and America, ensuring the effective and smooth running of the Markets Front Office. It also offers regional business support as required by the Head of Markets Europe & America COO Functions.

What will your day look like?

This role is accountable for:

  1. EA to the Head of Markets Europe and America
    • Proactive diary management (using Outlook) and email correspondence
    • Planning & organizing travel itineraries including air and ground transportation
    • Timely and accurate management and inputting of expenses
    • Updating SOR & Living Will
  2. General day-to-day office administration tasks including:
    • Booking meeting rooms, VCs & catering, setting up meeting rooms/presentations
    • Controlling external visitors to the restricted Markets areas
    • Membership & subscriptions signoff
    • Coordinating client events (e.g., Tennis, Rugby, Cricket)
    • Assisting with photocopying and presentation binding
  3. Ensuring swift and accurate invoice payment for the Markets Division:
    • Managing invoices & tracking all spend
    • Onboarding new suppliers
    • Ensuring correct cost split among desks/departments
What will you bring?

To be successful, you should ideally have:

  • Experience as an Executive Assistant, preferably in a fast-paced financial services environment
  • Ability to use initiative proactively and persistently address issues
  • Strong relationship-building skills
  • Excellent prioritization and conflict management skills
  • Good written and verbal communication skills
  • Proficiency in Microsoft Office applications:
    • Word: advanced (styles, tables of contents, graphics)
    • Outlook: diary management, contacts, email archiving
    • PowerPoint: intermediate (presentations, graphics)
    • Excel: intermediate (spreadsheets, formulas)
