Job Description

An exciting opportunity has arisen for an exceptional Executive Assistant to join a leading fast-growing, high-profile, private GP practice in Chelsea. Supporting one of their dynamic Doctors, you will be their true right hand as you have full involvement in the operational and clinical running of the practice. Not only this but you will be an extension of them as you liaise and build strong relationships with many of their UHNW clients.

Key Responsibilities:
• Complex diary and inbox management
• Client liaison and relationship management
• Coordination of specialist referrals and investigations
• Invoicing, debt management, and supplier relations (using Xero)
• Management of patient data, laboratory registrations, and results follow-up
• Medical records administration and document management
• Inventory control and ordering of medical and office supplies
• Travel and logistics management
• Preparation of professional documents and presentations
• Familiarity with medical AI tools (e.g., Heidi AI) is highly beneficial

The Ideal Candidate Will Have:
• Significant EA/PA experience supporting at senior level
• Outstanding organisational, communication, and problem-solving skills
• A discreet, proactive, service-driven attitude with the ability to operate independently
• Strong IT skills across MS Office (Word, Excel, Outlook) and experience using Xero
• Medical terminology knowledge (preferred)
• Ability to commit to a full-time, office-based role (5 days per week), with flexibility to assist with urgent tasks outside of hours when needed (within reasonable expectations)
