Job Title: Executive Assistant

Location: Wimbledon, London (3-4 days in office, the rest at home)

Pay: £21 - £25 per hour

Duration: Temporary ongoing

Hours/Days: Monday- Friday 9am-5pm

Start date: ASAP

Responsibilities: Join our dynamic team as an Executive Assistant, where you’ll provide essential support to our Managing Director and the wider team! Your role will be multifaceted, involving both executive assistance and office management duties. Here’s what you’ll be diving into:

Executive Assistance:

  • Provide general administrative support, including diary and expense management, travel arrangements, and liaising with stakeholders.
  • Communicate on behalf of the GM and Leadership Team with local businesses, customers, and global partners.
  • Coordinate meetings, prepare agendas, and manage diaries, ensuring everything runs like clockwork.
  • Host international guests, ensuring office preparedness and seamless logistics.
  • Manage travel arrangements, including hotel bookings and visa coordination.
  • Serve as the single point of contact for the UK&I GM & Lead Team in our market, maintaining high confidentiality.

Office Management:

  • Collaborate with the Facilities Coordinator to provide general office management support.
  • Schedule meetings, prepare meeting rooms, and organise refreshments.
  • Maintain professional relationships with reception staff and manage parking policies.
  • Assist with employee office events and raise purchase orders.

Employee Engagement:

  • Collaborate with HR and engagement representatives to coordinate activities and communicate in a fun, engaging manner.

Projects:

  • Help organise meetings, conferences, and events, working with the in-house events team for special initiatives.

Experience/Skill Set Looking For:

  • Proficient in Excel & PowerPoint (comfortable with formulas and data entry)
  • Experience with Concur
  • Previous EA/PA experience
  • Office management experience
  • Passion for the beauty space is ideal!
