Summary:

We are seeking a proactive and organized Executive Assistant to provide comprehensive support to five stakeholders within our consulting firm. The ideal candidate will be highly efficient, detail-oriented, and capable of managing multiple tasks simultaneously in a fast-paced environment.

Responsibilities:

  • Act as the primary point of contact for five stakeholders, managing their calendars, appointments, and emails efficiently.
  • Proactively prepare meeting agendas, coordinate schedules, secure speakers, and ensure timely follow-up on action items.
  • Track and manage international team travel logistics, including itineraries, accommodations, and compliance with travel policies.
  • Plan and execute team events, offsites, and conferences, overseeing all logistics from venue selection to post-event wrap-up.
  • Assist with personal tasks and errands for the stakeholders as required, demonstrating a high level of discretion and professionalism.
  • Manage expense reports and reimbursement requests for the stakeholders, maintaining accurate records and adherence to company policies.
  • Serve as a liaison between the stakeholders and internal/external stakeholders, effectively communicating messages and requests.
  • Handle confidential information with the utmost discretion and always maintain confidentiality.
  • Anticipate the needs of the stakeholders and proactively identify opportunities to streamline processes and improve efficiency.

Qualifications:

  • Bachelor's degree in business administration, communications, or related field (preferred).
  • Proven experience as a personal assistant or executive assistant, supporting multiple stakeholders simultaneously.
  • Exceptional organizational skills with the ability to prioritize tasks and manage time effectively.
  • Strong communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Flexibility to adapt to changing priorities and work independently with minimal supervision.
  • Attention to detail and a high level of accuracy in all tasks.
  • Willingness to take on additional responsibilities and contribute to the overall success of the team.
