Executive Assistant

(Fast-paced startup environment | Bristol / Hybrid)

We’re looking for an exceptionally organised and proactive Executive Assistant to join our high-growth startup. This is not a traditional EA role, it’s designed for someone who thrives in a reactive, fast-paced environment, loves variety, and wants to grow their career alongside an ambitious leadership team.

You’ll work closely with our senior leaders across operations, marketing, and people functions; managing diaries, planning travel, supporting onboarding, coordinating events, and helping the business run smoothly day to day.

We’re particularly looking for someone comfortable being visible, someone who enjoys representing the company, has strong communication skills, and is excited to build their own personal brand as part of our story.

As part of a global team, you’ll occasionally need to flex your schedule to collaborate with senior leaders based in the US. This isn’t a 24/7 role, but it does suit someone who’s comfortable with the occasional early call, evening message, or last-minute travel change when needed.

If you’ve worked in a startup or scale-up, you’ll know what it means to flex between roles, handle fast-moving priorities, and bring calm to the chaos.

What You’ll Be Doing

Executive Support

  • Manage busy leadership calendars and coordinate meetings across time zones
  • Plan and book detailed travel itineraries for domestic and international trips
  • Provide responsive support for senior leaders, anticipating needs and acting quickly when priorities shift
  • Prepare meeting materials, internal updates, and presentations
  • Manage company inboxes and handle follow-up actions

Marketing & Brand Collaboration

  • Support the marketing team with internal communications, presentations, and campaigns
  • Assist in event coordination, incentive trips, and brand activations
  • Collaborate with marketing to create or share content that reflects company culture and leadership updates
  • Actively build your own personal brand on LinkedIn and within the industry - sharing insights, celebrating company wins, and helping amplify our story

People & Operations

  • Support onboarding and offboarding (systems, equipment, merch, onboarding plans)
  • Maintain HR admin and employee records
  • Act as the main office contact for facilities, suppliers, and equipment stock
  • Help coordinate socials, team incentives, and internal events
  • Step into operational or admin support tasks as needed

About You

  • Experienced Executive Assistant, Operations Coordinator or Business Support Administrator (2+ years experience)
  • Startup or scale-up experience is essential, you understand pace, autonomy, and adaptability
  • Highly organised and solutions-driven, with a calm approach to changing priorities
  • Flexible and comfortable working across time zones with global leadership
  • Confident communicator who enjoys building relationships
  • Strong written and verbal communication skills
  • Positive, can-do attitude and willingness to jump into any challenge
  • Tech savvy and comfortable picking up new tools quickly
  • Bristol based and able to work from the office at least 3 days a week
