Job Summary

We are seeking a proactive and highly organized Executive Assistant to provide strategic and administrative support to our CEO. This role goes far beyond calendar management — it’s about creating leverage, removing obstacles, and driving operational excellence behind the scenes. The ideal candidate thrives in a fast-paced, dynamic environment, is solutions-oriented, and brings a high level of professionalism, discretion, and attention to detail. From coordinating high-stakes meetings and complex travel to managing cross-functional communication and executive deliverables, you will be a trusted partner ensuring the CEO operates at peak performance.

Responsibilities

Calendar, Meeting & Inbox Management:

  • Proactively manage the CEO’s complex calendar across global time zones, resolving conflicts, prioritizing meetings, and protecting focus time.
  • Coordinate across departments and external stakeholders to schedule high-priority meetings with agenda alignment and follow-through.
  • Prepare the CEO for meetings by compiling participant bios, context, background materials, and desired outcomes.
  • Draft agendas, prep decks, distribute pre-read materials, and provide real-time meeting support.
  • Take notes during key meetings and track follow-ups, ensuring action items are delegated and completed.
  • Gatekeep and triage meeting requests, using discretion to accept, decline, or reassign/delegate as appropriate.
  • Monitor and manage the CEO’s inbox, flagging/pinning urgent matters, ghostwriting replies, and streamlining communication.
  • Maintain accurate records of meetings, contacts, and recurring cadences (1:1s, board, investors, internal syncs), ensuring consistency and optimization.

Travel, Logistics & Event Coordination:

  • Provide live support during travel to manage last-minute changes, troubleshoot issues, and ensure smooth execution.
  • Assist in arranging travel logistics for the CEO and executive team, including flights, hotels, ground transport, and external meetings.
  • Create detailed, intuitive travel itineraries including confirmations, maps, time zone conversions, and meeting prep.
  • Book WeWork and other office space in various cities as needed for CEO and team, while managing related logistics.
  • Coordinate internal and external events — from leadership offsites and QBRs to customer / team dinners — managing venues, reservations, catering, guest lists, and special accommodations.
  • Maintain a detailed record of the CEO’s preferences—such as airline loyalty programs, dining choices, and preferred hotels—to tailor arrangements and simplify future booking processes.
  • Support CEO with Brex receipts, and liaison with Finance as needed.

Executive & Cross-Functional Coordination:

  • Own planning timelines and track executive deliverables for presentations, board decks, and company-wide all hands.
  • Support the C-Suite in scheduling and aligning for high-impact meetings such as board sessions, QBRs, offsites, and internal reviews.
  • Partner with internal stakeholders to ensure meetings are strategically timed, properly staffed, and outcome-driven.
  • Maintain a steady cadence of executive sessions (C Suite, 1:1s, business reviews), including clear agendas and follow-ups.
  • Ensure alignment and collaboration across departments, surfacing and resolving scheduling gaps or coordination issues early.

Office, Apartment & On-Site Oversight:

  • Manage the CEO’s DC apartment and CoreView’s DC office, overseeing scheduling of cleanings, maintenance, and vendor/maintenance coordination.
  • Ensure bills, utilities, subscriptions, and deliveries are managed and up to date.
  • Be physically present in the DC and Milan office whenever the CEO is in town to provide on-site support and coordination.
  • Serve as the local liaison for visiting team members and executives, ensuring seamless office use and meeting logistics.
  • Assist in planning and executing in-office events, including food coordination, catering, and space setup.

Legal & Administrative Support:

  • Vet all legal documents (e.g., contracts, NDAs, agreements) before presenting them to the CEO, confirming internal approvals from Legal, Finance, and other relevant teams.
  • Track document status, manage signature workflows, and ensure timely execution with accurate version control.
  • Maintain an organized digital archive of signed agreements and sensitive documentation.

Confidentiality & Strategic Discretion:

  • Handle sensitive and confidential information with absolute discretion, professionalism, and integrity.
  • Act as a trusted partner to the CEO, privy to high-level initiatives, HR matters, and company strategy — while maintaining confidentiality and compartmentalization.
  • Use sound judgment to anticipate potential issues, recommend thoughtful solutions, and handle delicate matters with diplomacy.
  • Uphold a high standard of executive presence, tact, and calm under pressure, earning and maintaining trust across the leadership team.
