Job description

Job Title: Executive Assistant

We are seeking a highly organised and professional Executive Assistant to provide strong support to our Executive Vice Presidents. In this role, you will ensure the smooth handling of all administrative and secretarial functions, contributing to the efficiency of our executive office.

This is a part-time, permanent position based out of our Slough HQ. Working days are Monday-Thursday.

Key Responsibilities (but not limited to):
  • Manage executive office administration tasks.
  • Handle high-level office calls and visitors professionally.
  • Coordinate with International Head Offices/Regional Offices on business matters.
  • Arrange complex business travel, including hotel bookings, ticket reservations, and itineraries.
  • Organize appointments and diary management daily.
  • Assist in project management and follow-up on assigned tasks.
  • Prepare meeting memos and action points.
  • Consolidate monthly reports and distribute them to relevant teams.
  • Draft recognition letters and correspondence.
  • Manage executive email inbox, filtering marketing emails and tracking important messages.
  • Review and process expense reports and travel requests, ensuring compliance with company policies.
Qualifications:
  • Diploma or University Degree.
  • 3+ years of experience in a similar role, preferably in a multinational or multicultural environment.
  • Strong proficiency in Microsoft Office.
  • Excellent administrative and correspondence skills.
  • Outstanding telephone etiquette and communication skills.
  • Ability to handle confidential information with discretion.
