We are seeking a highly organised and proactive Executive Assistant to provide high-level administrative support to the GM, as well as assist the HR and Communications teams in various operational and strategic functions. This role requires exceptional attention to detail, discretion, and the ability to manage multiple priorities in a dynamic environment. The ideal candidate will excel in communication, coordination, problem-solving, and supporting cross-functional teams to ensure seamless day-to-day operations.

Responsibilities include:

Executive Support

  • Assist in agenda management, facilitating necessary contacts and communications.
  • Prepare reports, presentations, and correspondence on behalf of the executive.
  • Handle confidential information with professionalism and discretion.
  • Act as a liaison between the executive and internal/external stakeholders.
  • Liaise with USA senior management and their EA’s.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Provide comprehensive administrative support, including managing schedules, appointments, and meetings.
  • Provide support to the International Leadership Team (ILT) as required for specific projects.

HR & Communications Team Support:

  • Support internal communications, ensuring timely and accurate messaging for company updates and initiatives.
  • Help coordinate employee engagement activities, events, and recognition programs.
  • Serve as the first point of contact for calls, inquiries, and requests.

Communication & Coordination

  • Provide logistical and administrative support for company-wide meetings, town halls, and other events.
  • Organise lunches.

Project & Office Management

  • Assistance in preparation of all matters relating to business planning and change management.
  • Assist with special projects, including research and documentation.
  • Address any facilities issues at the Silchester site.
  • Ensure the receipt and distribution of post.
  • Project work as required in support of GM and ILT.

Required Skills

  • Proven experience in an Executive Assistant, Personal Assistant or similar role.
  • Proficient with Microsoft Office package (Word Excel, Outlook and PowerPoint).
  • Strong teamworking, communication, adaptive mindset, attention to detail.
  • Ability to work independently and handle sensitive information responsibly.
  • Excellent verbal and written communication skills.
  • Strong organisational skills with the ability to multitask and prioritise effectively.
  • Professionalism and discretion in all interactions.
  • Experience supporting HR or communications teams is a plus.
  • Used to collaboration with international sites.
