Please note this is a hybrid role where onsite work is essential from our Central London office. The successful candidate must be based in London, or within a reasonable commute and be available to work from our office 3-4 days per week.
What you will do
As our Executive Assistant, you’ll be the trusted right hand to the CEO: anticipating needs, coordinating across teams, and ensuring the smooth operation of our London HQ.
Your main responsibilities will include but are not limited to:
CEO & Executive Support
Manage the CEO’s busy calendar, external communications, and meeting logistics
Coordinate with key clients, partners, and stakeholders, keeping communication sharp and timely
Assist in managing the CEO’s professional presence (e.g. LinkedIn, thought leadership activities)
Prepare meeting agendas, take minutes, and track follow-ups
Support in organising company-wide meetings, webinars, and team updates
Office Administration
Be the go-to person at our London office, welcoming guests, supporting events, and managing logistics
Work with the Office Manager to ensure a smooth, safe, and well-stocked office environment
Support device setup and configuration processes as needed
General Business Support
Assist senior leadership with reports, presentation materials, and coordination across departments
Maintain up-to-date administrative resources and company documentation
Contribute to SharePoint content and internal communications
Help organise company meetups and social events
What you bring
Must-Have Skills & Experience
2+ years of experience supporting senior executives in a dynamic environment
4+ years of experience in administrative or office coordination roles
Confident with MS Office tools (Outlook, Excel, Word, PowerPoint, SharePoint)
Writing experience with key corporate messages on internal channels, and external public relations platforms e.g. LinkedIn.
Excellent communication (written, verbal and presentation) skills with a high degree of professionalism
Proven relationship-building and influencing skills
Strong organisational and problem-solving abilities with a high level of attention to detail
Proven ability to work independently and maintain confidentiality
Nice-to-Have Skills & Experience
Experience in a tech, AI, or start-up/scale-up environment
Exposure and knowledge of project coordination, PM tools and/or management principles
Degree in a business-related field
