Executive Assistant

Salary: £50,000 - £65,000

Location: London, Hybrid Role

The Role:

We are looking for a highly organised, proactive, and trusted Executive Assistant to support our CEO and Managing Director (MD). This role will be pivotal in enabling our senior leadership to operate efficiently and focus on high-value work by managing the daily logistics, information flow, and stakeholder coordination around them.

This role is ideal for someone who thrives in a dynamic, fast-paced environment and loves variety. You’ll need to be a strong communicator, comfortable working independently, and naturally solutions-focused. Whether managing diaries or drafting stakeholder briefings, your support will be essential to the effectiveness and impact of the exec team.

You’ll also work closely with the Chief of Staff, COO, and Internal Comms/Marketing team to support leadership rhythm and business cadence, ensuring clear communication and smooth execution across the organisation.

Key Responsibilities:

Diary & Inbox Management

  • Manage complex calendars for the CEO and MD, aligning internal/external meetings with business priorities.
  • Proactively handle scheduling conflicts and adapt to shifting priorities.
  • Support inbox management by flagging urgent messages, preparing executive summaries, and drafting professional replies.

Meeting Support & Briefing Preparation

  • Coordinate and prepare materials for key meetings, board calls, and leadership offsites.
  • Draft agendas, talking points, and background briefs for stakeholder engagements.
  • Attend meetings where needed to capture notes, record actions, and ensure timely follow-up.

Travel, Logistics & Bookings

  • Organise domestic and international travel, including flights, accommodation, visas, and ground transport.
  • Book venues, restaurants, and office space for internal or client-facing events.
  • Prepare detailed travel packs including agendas, briefing documents, and contextual insights.

Information Flow & Stakeholder Coordination

  • Act as a gatekeeper and point of contact for executive-level communications.
  • Help drive business rhythm by supporting leadership cadences and coordinating with the Chief of Staff and COO.
  • Collaborate with the Head of Marketing & Internal Comms on key internal and external communications.

Reporting & Technology Support

  • Confidently use generative AI tools to draft content, automate tasks, and improve productivity.
  • Conduct light-touch data analysis and present insights using Excel, Monday.com, or similar platforms.
  • Build and maintain executive dashboards and reports in a decision-ready format.

Ad Hoc Support & Special Projects

  • Provide occasional personal support to the CEO and MD as required.
  • Contribute to internal events and team initiatives, and assist with project research or coordination.
  • Support delivery of business-critical projects with light-touch project management where appropriate.

  • Proven experience as an Executive Assistant, ideally in a fast-paced, dynamic, or entrepreneurial environment.
  • Ability to support multiple leaders with discretion, emotional intelligence, and sound judgement.
  • Exceptional organisational and time management skills, with a proactive mindset and meticulous attention to detail.
  • Technological confidence, including use of AI tools, productivity platforms (e.g. MS Office, Slack, Google Workspace), and dashboards.
  • Strong verbal and written communication skills.
  • Calm under pressure, resilient, and comfortable operating autonomously with high levels of trust and accountability.
