Job Title:
About the job you're considering

Based in a busy environment in St Paul’s, you will be providing in-depth executive support to a member of the Business Unit Executive Board plus another VP. You will be working alongside other executive assistants, some based in St Paul’s and some remotely.

Hybrid working:The places that you work from day to day will vary according to your role, your needs, and those of the business; it will be a blend of Company offices, client sites, and your home.
Requirement to be in the London office a minimum of 3 days per week.
If you are successfully offered this position, you will go through a series of pre-employment checks, including:
identity, nationality (single or dual) or immigration status, employment history going back 3 continuous years, and unspent criminal record check (known as Disclosure and Barring Service)

Your role
  • Comprehensive diary management to ensure productive time usage and regular scheduling of meetings, accommodating multiple diaries and often various time zones.
  • Monitoring and organisation of client and internal meetings and conference calls.
  • Preparation and logistical facilitating of team meetings, both internal and external where required.
  • Itinerary planning to ensure seamless logistics to maximise exposure to clients or partners, whilst identifying the most convenient and cost-effective travel options.
  • Proactive handling of mail box and delegation to team when required.
  • Liaison with external clients and partners and their offices to promote a good relationship and ensure desired access.
  • Co-ordinating visa applications and other related travel documents.
  • Monitoring and entering of expenses, timesheets and invoices using online systems.
  • Set up and maintenance of internal distribution and contact lists alongwith general administration duties.

  • Experience in a professional business support role
  • Flexible approach with excellent organisational and time management skills
  • Good communication and team working skills, with ability to maintain confidentiality at all times
  • Professional approach with ability to prioritise work efficiently with clarity on delivery expectations.
  • Calm under pressure and managing difficult situations.
  • Excellent proficiency of Outlook, Microsoft Word, PowerPoint and Excel
  • Good attention to detail
  • Numerate

Desirable:

  • Experience of global diary management, incorporating various time zones
  • Experience of using online procurement and timesheet systems
  • Event organisation experience
