The Executive Assistant (EA) to our People, Communications, and Sustainability (PCS) leadership team serves as a trusted and valued member of the team, delivering comprehensive support to ensure the seamless operation of the function. The EA will manage a variety of administrative functions, including inbox and diary management, meeting coordination, and acting as an ambassador for the PCS leadership team in all interactions.

A forward-thinking mindset is essential, as the EA will not only prepare for meetings but also assist in the planning of presentations and other critical tasks. This role requires high integrity, flexibility, and empathy to navigate the demands of a fast-paced business.

Responsibilities:

As part of this role, you'll be responsible for:

  • Manage diaries for multiple PCS leaders, ensuring effective scheduling and prioritisation
  • Prepare leaders for meetings well in advance, including organising necessary materials, discussions, and briefings
  • Coordinate regular meetings with selected PCS members to clarify priorities and ensure proper sequencing
  • Arrange both internal and external meetings, including booking venues, ordering catering, and organising necessary equipment
  • Oversee inbox management, understanding priorities, communicating cancellations, and driving actions to ensure timely responses
  • Respond to or redirect emails as appropriate to maintain workflow
  • Manage travel arrangements and logistics seamlessly when required
  • Assist in producing and editing PowerPoint presentations from drafts, preparing materials for upcoming planning meetings
  • Compile information for reports and presentations, utilising Excel to organise data into agreed templates
  • Purchase Order and expense management - Prepare, reconcile, and submit expenses; raise purchase orders for team activities, ensure in line with budgets
  • Undertake specific projects and additional responsibilities as requested

You will need:

  • Proficient in using O365 applications, including One Note and use of planning and measurement tools
  • Strong can-do attitude with a proactive approach to problem-solving
  • Highly organised, efficient, and structured; obsessive about maintaining order
  • Self-sufficient and capable of working independently
  • Pragmatic and quick to adapt to changing needs and circumstances
  • Exceptional attention to detail and accuracy in all tasks
  • Thoughtful about the needs of the PCS leadership team, with a focus on how best to support them
  • Excellent verbal and written communication skills, with the ability to convey messages effectively and influence at all levels of the business
