About the role

We are looking for a highly proactive, detail-oriented, and resourceful Executive Assistant (EA) to the CEO who thrives in a fast-paced environment. This role requires someone who can anticipate needs, take full ownership of tasks, and operate with efficiency and discretion. The ideal candidate will be a strong communicator, highly organised, and capable of managing a wide range of business and personal responsibilities.

Key Responsibilities

1. Executive & Strategic Support

Manage and optimise the CEO’s calendar, ensuring time is spent on high-impact activities.

Act as a gatekeeper for meeting requests, prioritising and scheduling engagements efficiently.

Prepare meeting materials, take notes, and track follow-ups to ensure seamless execution.

Proactively identify and resolve scheduling conflicts.

2. Communication & Relationship Management

Draft, refine, and manage correspondence on behalf of the CEO, including emails and internal communications.

Manage outreach efforts, ensuring strong engagement with key stakeholders, partners, and industry contacts.

Maintain a structured system to track relationships and follow up on key conversations.

Handle internal and external communication with professionalism and discretion.

3. Research & Special Projects

Conduct research to support business decisions, partnerships, or strategic initiatives.

Summarise findings into clear, actionable insights for the CEO.

Support business development efforts by identifying and reaching out to potential contacts.

4. Operational & Administrative Management

Handle travel arrangements, event coordination, and logistics for both domestic and international engagements.

Oversee expense reporting, invoices, and other administrative tasks to streamline operations.

Implement systems and processes to improve efficiency in the CEO’s workflow.

5. Personal Support (As Needed)

Assist with personal scheduling and appointments.

Coordinate travel, accommodations, and reservations for both business and personal trips.

Manage personal errands and administrative tasks that help free up the CEO’s time.

Who you are

Nice-to-Haves:

Previous experience supporting a CEO, executive, or entrepreneur in a fast-paced environment.

Experience in a fast-paced, high-ownership environment

Experience in cold outreach, networking, or relationship management

Familiarity with productivity tools (Google Suite, Notion, Slack, etc.).

Strong writing skills for drafting high-quality emails and communications.

Comfortable working with minimal guidance and adjusting to evolving priorities.
