Overview:

We are looking for a highly organised, proactive, and adaptable Executive Assistant to support senior leaders within a purpose-driven, global non-profit environment. This position extends beyond typical EA responsibilities, requiring strong project coordination capabilities, outstanding communication skills, and the ability to handle complex workflows with professionalism, discretion, and attention to detail.

Key Responsibilities:

  • Complex diary and meeting management across global time zones
  • Inbox management, including prioritising and responding to correspondence
  • Project manage key workstreams and priorities, ensuring deadlines are met and deliverables are completed
  • Work closely with senior leadership and their direct reports to support team oversight and progress tracking
  • Prepare high-quality documents, presentations, briefing materials, and internal/external communications
  • Organise and coordinate meetings, minute-taking, action tracking, and follow-ups
  • Plan and manage detailed travel itineraries
  • Provide support for recruitment, onboarding, and offboarding processes
  • Organise team events, away days, and staff engagement initiatives
  • Manage expenses and invoices, including approvals on behalf of leadership
  • Collaborate with other EAs and provide cover where needed
  • Take delegated budget responsibility where required

Who You Are:

  • Exceptionally organised with keen attention to detail
  • A confident communicator with excellent written and verbal English
  • Resilient, calm under pressure, and able to manage multiple priorities
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams), Zoom, WebEx
  • Experience with DocuSign and Adobe is an advantage
  • A true team player with a proactive and flexible attitude
  • Able to exercise discretion and manage confidential information sensitively
  • Comfortable with occasional out-of-hours contact if required
