We are seeking an experienced and highly organised Executive Assistant to provide comprehensive administrative and business support to senior leadership within a high-performing Executive Search and Leadership Consulting firm based in London.
The successful candidate will play a pivotal role in enabling Partners and senior consultants to deliver client mandates effectively, manage multiple priorities, and drive operational excellence across search and advisory projects. This role requires a proactive, detail-oriented individual with prior experience supporting C-level stakeholders in a fast-paced, client-facing professional services environment.
Provide dedicated support to one or more Partners or Senior Consultants, managing complex diaries, scheduling meetings across time zones, and ensuring seamless daily coordination.
Act as the first point of contact between the Partner(s), clients, candidates, and internal teams, handling sensitive information with discretion.
Prepare high-quality documentation including proposals, reports, pitch decks, and candidate briefing materials.
Assist with project coordination for executive search mandates, including tracking candidate pipelines, maintaining CRM updates, and supporting assignment timelines.
Arrange national and international travel, including visas, flights, accommodation, and detailed itineraries.
Manage inboxes, prioritise communications, and draft responses on behalf of the Partner(s) when required.
Organise and support client meetings, candidate interviews, and leadership assessment sessions, including agenda preparation and post-meeting follow-ups.
Provide logistical and administrative support on events, conferences, and networking engagements relevant to the business.
Conduct background research on clients, sectors, and candidates to support projects and business development efforts.
Support expense management and invoice processing in accordance with company policies.
Collaborate with other Executive Assistants, researchers, and consultants to ensure smooth project delivery and workflow continuity.
Prior experience as an Executive Assistant or Personal Assistant within the Executive Search, Leadership Consulting, Professional Services, or Management Consultancy sectors is essential.
Exceptional organisational and multitasking skills, with the ability to manage conflicting priorities efficiently.
Strong attention to detail and high standards of accuracy in document preparation and scheduling.
Proven ability to handle confidential and sensitive information with integrity and discretion.
Excellent written and verbal communication skills.
Proficiency in MS Office Suite (Word, PowerPoint, Excel, Outlook); familiarity with CRM systems is advantageous.
Comfortable working in a fast-paced, deadline-driven environment with high-profile clients.
A proactive mindset with the confidence to work independently while being an integral part of a collaborative team.
Experience supporting multiple senior stakeholders simultaneously.
Knowledge of the executive search process and leadership assessment tools.
Understanding of client expectations in a high-touch, client-centric service environment.
