Role: Executive Assistant

Salary: £40,000 – £46,000 (DOE)

Location: Hybrid/London (3/4 days in office)

Trustmarque are a dynamic, fast-paced, and ever-evolving organisation seeking a talented, detail-oriented, and people-focused Executive Assistant. This role is ideal for someone who thrives on autonomy, takes full ownership of their executive’s priorities, and wants to make a visible difference in a business-critical support position.

This role offers a 50/50 split between high-level Executive Assistant responsibilities and hands-on Office Management. You’ll play a key role in supporting C-Suite leadership while also ensuring the smooth day-to-day running of the London office in a fast-paced and dynamic environment.

About the Role

This is a classic EA position with real scope. You’ll be accountable for running the day-to-day schedule, workflow, and communications of your executives while ensuring follow-through on priorities and proactive forward planning. You won’t just be reacting. You’ll be anticipating, acting early, and keeping your execs several steps ahead.

Key Responsibilities

Diary, Inbox & Workflow Ownership

  • Full ownership of diary management. Ensure all meetings are planned 3+ weeks ahead and proactively adjusted as priorities shift.
  • Manage inboxes with judgment and foresight. Flag, filter, and action where needed.
  • Ensure your executive is fully prepared for all meetings. Agendas and materials must be shared in advance.
  • Own action and task lists. Track, coordinate, and follow up to ensure delivery.
  • Lead regular check-ins with your executive to align priorities and maintain momentum.

Travel, Expenses & Logistics

  • Take complete ownership of travel booking, itineraries, and logistics.
  • Process expenses quickly and accurately.
  • Manage logistics for team meetings, events, and external engagements.

Communication & Stakeholder Engagement

  • Act as a gatekeeper and trusted extension of your executive.
  • Keep communication and energy flowing across the wider team.
  • Be the 'eyes and ears' for your exec. Spot issues early and take initiative.

Confidentiality & Governance

  • Handle sensitive and confidential information with professionalism.
  • Ensure governance, meeting cadence, and task management are well documented and maintained.

Documentation & Meetings

  • Draft, format, and proof reports, presentations, and internal communications.
  • Prepare agendas, briefing packs, and follow-up notes.
  • Coordinate meetings from start to finish. Make sure attendees are prepared and logistics are smooth.

Projects & Events

  • Support ad-hoc projects. This may include internal initiatives or C-suite planning.
  • Plan and coordinate offsites, executive meetings, and team events.

Office Management

  • Oversee day-to-day office operations on in-office days to ensure a smooth and efficient working environment
  • Be the first point of contact for office-related queries or issues, escalating where needed
  • Liaise with facilities, IT, and other vendors to coordinate office maintenance, supplies, and services
  • Support with on-site meeting logistics, visitor coordination, and ensuring meeting rooms are prepared
  • Take initiative to maintain a welcoming, professional and organised office space
  • Champion office culture by helping plan and coordinate internal events, celebrations, or wellbeing initiatives

  • Proven experience as an Executive Assistant at senior leadership level.
  • Highly proactive and forward-thinking. You anticipate, not react.
  • Excellent organisational and multitasking skills with attention to detail.
  • Able to prioritise in a fast-paced, changing environment.
  • Personable and collaborative. You’re confident managing upwards and thrive in a people-focused environment.
  • Comfortable in the office at least three days a week with flexibility as needed.
