Job description

Executive Assistant & Office Manager

About Aries Global

Aries is a rapidly-scaling, founder-led group of profitable software companies, building at the intersection of the $50B+ cloud ecosystem and the next wave of AI-native software.

We acquire and grow niche B2B SaaS businesses, investing ~$200M annually with permanent capital. We’re building the infrastructure to unify and accelerate portfolio growth through shared AI, data, and go-to-market systems.

The Role: Executive Assistant & Office Manager

We’re looking for an exceptionally organised, proactive, and high-energy Executive Assistant & Office Manager to support our CEO, founding team, and fast-growing London HQ.

This role blends classic EA support with light-touch office management — perfect for someone who thrives in fast-paced environments, cares deeply about details, and wants to operate at the heart of a high-growth company.

You’ll be the right hand to the exec team and the operational backbone of our London office — supporting scheduling, meetings, logistics, team coordination, and keeping our space running smoothly.

What You’ll Do

Executive Support:

  • Calendar & Scheduling: Manage complex calendars for the CEO and founding team, balancing internal and external priorities
  • Meeting Coordination: Prepare agendas, take notes, and ensure follow-ups happen across leadership meetings
  • Internal Alignment: Help coordinate priorities, track OKRs, and keep the team moving in sync
  • Stakeholder Engagement: Assist with investor communications, external meeting prep, and occasional deck support
  • Travel & Offsites: Plan travel and coordinate logistics for company offsites and executive events

Office Management:

  • Office Operations: Ensure the smooth day-to-day running of our London office (supplies, equipment, vendors, etc.)
  • Culture & Events: Organise team lunches, socials, and onboarding kits to help foster connection and momentum
  • Space Management: Liaise with the building, make the office a productive and inspiring space
  • Vendor Coordination: Manage relationships with external service providers (cleaning, security, IT support, etc.)
  • General Admin: Support ad hoc requests and keep operational documentation up-to-date

Who You Are:

  • 3+ years experience supporting C-level executives in a high-growth or startup environment
  • Prior experience managing a small office or team space is a plus
  • Incredibly organised, detail-oriented, and resourceful - you anticipate problems before they happen
  • Strong communicator, both written and verbal, and comfortable working with high-level stakeholders
  • Reliable, trustworthy, and discreet when handling sensitive or confidential information
  • Tech-savvy, fast learner, and excited to build systems and processes from scratch
  • Energised by startups, fast-paced work, and ambitious teams - you bring positivity and calm under pressure

Why This Role?

  • Operate at the core of a high-performing, high-growth company
  • Make an outsized impact by supporting the people and processes that drive our business
  • Build and shape an office and operational culture you’ll be proud of
  • Work directly with world-class operators, engineers, and investors
  • Grow with a company that’s scaling rapidly, sustainably, and globally
