Executive Assistant (London | On-Site | Approx. £40K | 6-Month Contract)
A leading global organisation is seeking an experienced Executive Assistant to support the tax team (based in London and Luxembourg). This 6-month on-site contract is based in London.
We’re looking for a highly organised, proactive individual who thrives in a fast-paced environment. The ideal candidate will have excellent communication skills, sound judgment, and the ability to manage sensitive information with discretion.
Key Responsibilities
Calendar & Travel Management
- Manage complex Outlook calendars across multiple time zones
- Arrange extensive international and domestic travel, including visa coordination
- Provide end-to-end global travel support to the VP
Event Planning & Project Coordination
- Lead the planning of international events (100+ attendees) across EMEA, APAC, and LATAM
- Oversee multiple projects simultaneously in collaboration with cross-functional teams
- Deliver large-scale conferences and meetings on time and within budget
Administrative Support
- Monitor departmental budgets and identify cost-saving opportunities
- Raise and track purchase orders using Coupa
- Process and reconcile multi-currency expenses using Concur
- Provide general administrative support to senior stakeholders
Communication & Stakeholder Management
- Draft and distribute internal communications (e.g., newsletters, team updates, wikis)
- Act as a key liaison for the VP with internal departments and external stakeholders
- Build and maintain strong working relationships across global teams
Meeting Preparation & Documentation
- Prepare meeting agendas, collate and edit presentations, compile packs, and circulate materials
- Consolidate departmental reports and liaise with HR as needed
Office Operations
- Act as the point of contact for office moves and floor planning
- Maintain accurate headcount and seating data for agile workspaces
Basic Qualifications
- Proven experience as an Executive Assistant supporting senior leadership
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Experience managing executive calendars and complex travel itineraries
- Strong attention to detail and ability to handle confidential information
Preferred Qualifications
- Experience in a fast-paced, high-tech or global corporate environment
- Experience leading process improvements and creating efficient workflows
- Strong stakeholder management and written communication skills
