Executive Assistant who has previous experience working in a litigation department and is proficient in using Microsoft Office / 365 and has knowledge of CRM systems with excellent organisational, administrative, communication and time-management skills is required to join a Trust Estates & Disputes Litigation Department for a legal firm based near Holborn, Central London.

SALARY: Competitive + Generous Benefits

LOCATION: London (WC1R)

JOB TYPE: Full-Time, Permanent

WORKING HOURS: 35 Hours per Week, Monday to Friday

JOB OVERVIEW

We have a fantastic new job opportunity for an Executive Assistant who has previous experience working in a litigation department and is proficient in using Microsoft Office / 365 and has knowledge of CRM systems with excellent organisational, administrative, communication and time-management skills.

As the Executive Assistant you will be an integral member of the firm's welcoming and ambitious Trust, Estates & Disputes Litigation Department. In this role, you will provide crucial support to the team, enabling them to deliver an exceptional standard of service to clients, prospective clients, and third parties.

The Executive Assistant will be required to demonstrate meticulous attention to detail and possess the ability to proofread outgoing correspondence, manage the team's diaries, prepare documentation for court proceedings, and provide comprehensive general administrative support.

DUTIES

  • Proactively supporting the team in providing exceptional service and experience to all clients, prospective clients and third parties
  • Responsible for the administrative processes for the team and the compliance with firm-wide policies and processes
  • Proactive diary management for the team
  • Act as liaison between the team and the business support groups across the firm
  • Ensure fee earner compliance with all relevant risk management requirements on file opening and closing, including records of conflict checking, anti-money laundering checks, client care letters/terms and conditions and large value retainers
  • Responsible for the preparation of bundles for use in Court proceedings and liaising when necessary with the Court and Counsel

CANDIDATE REQUIREMENTS

  • Previous experience of working in a litigation department
  • Proficient in the use of Microsoft Office, specifically Microsoft Outlook (advanced), Microsoft Word (advanced), Microsoft Excel (intermediate) and PowerPoint (basic)
  • Basic knowledge of adding and editing client and contact details in the Firm’s Client Relationship Management system (CRM) and dealing with CRM queries within the team
  • Great attention to detail with the ability to proofread and check outgoing communications when required
  • Strong organisational and time management skills, whilst working to deadlines with limited supervision
  • Excellent interpersonal and communications skills, able to develop good working relationships with clients and third parties
  • Strong literacy and numeracy skills
